This Privacy Policy explains how VisualizeDom Photography ("VisualizeDom," "we," "us," or "our") collects, uses, shares, and protects information when you visit our website, contact us, book a session, or view photo and visual galleries. By using our website or services, you agree to the practices described below.

1. Information We Collect

We only collect information that helps us deliver photography and visual content services. This includes:

Contact details you provide directly, such as your name, email address, phone number, and mailing address.
Booking details including event date, location, session type, team or school name, jersey number, and any special requests.
Payment information processed by Square. We do not store full card numbers on our website — Square handles payment collection under its own policies.
Gallery activity when you view or download photos from our Pic-Time galleries (Pic-Time may collect access logs under its own policies).
Website usage data such as pages viewed, referring site, browser type, approximate location (from IP), and timestamps. This is collected in aggregate through basic analytics.
Photographs and other visual content captured during your session or event, which are the subject of our service.

2. How We Use Information

To respond to inquiries, quotes, and booking requests.
To schedule sessions, deliver galleries, and provide customer support.
To process payments and issue receipts through Square.
To display, promote, and market our visual work and photography (subject to Section 6).
To improve website performance and understand which pages are most useful.
To comply with legal obligations and protect our rights.

3. Legal Basis

We process personal information based on your consent (when you contact or book us), to perform our contract with you, to meet legal obligations, and for our legitimate business interests in operating and improving our services.

4. Third-Party Services

We use a small number of trusted third-party providers to run our business. Each has its own privacy policy:

Square — appointment booking and payment processing.
Pic-Time — hosting and delivery of event and sports galleries.
Google (Gmail) — email communication.
Website hosting and analytics providers — to keep the site online and measure basic traffic.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

5. Cookies & Tracking

This site uses a small number of cookies and similar technologies to keep the site functioning and to understand aggregate traffic. You can disable cookies in your browser settings; some parts of the site may not work correctly if you do.

6. Photographs, Model Release & Copyright

Copyright. All photographs created by VisualizeDom Photography are the exclusive copyrighted property of VisualizeDom Photography from the moment they are captured. Clients receive a personal, non-commercial license to view, download, print, and share their delivered images for personal use. Reselling, editing, cropping, re-filtering, or commercial use of any image without written permission is prohibited.

Model release. By booking a session, attending a photographed event, or appearing in a sports gallery captured by VisualizeDom Photography, you grant VisualizeDom Photography an irrevocable, royalty-free, worldwide right to use, reproduce, edit, publish, and display the resulting photographs (and any likeness they contain) for the following purposes: portfolio, website, social media, marketing, promotional materials, print samples, competition entries, and third-party photography publications. No additional compensation will be owed for such use.

Minors. Parents or legal guardians of a minor who books a session or appears in an event or sports gallery agree to this release on the minor's behalf. Coaches, schools, teams, and event organizers who invite VisualizeDom Photography to cover an event are responsible for obtaining any additional consents required by their organization.

Opt-out. If you would like a specific image of you or your child removed from public display, email us at the address below and we will honor reasonable removal requests promptly. Requests do not require a reason and will not affect your ability to receive your delivered gallery.

Watermarks & protection. Public preview images on this website may be watermarked and protected against direct download. Removing, altering, or circumventing watermarks or protective measures is prohibited.

7. Minors

Many of our clients are youth athletes. We do not knowingly collect personal information directly from children under 13. Bookings and communications should be handled by a parent, guardian, coach, or authorized adult. Parents or guardians may contact us at any time to review, correct, or request deletion of information relating to a minor.

8. Data Retention

We keep booking and contact records for as long as reasonably necessary to provide our services, resolve disputes, and comply with legal obligations. Event galleries are typically retained for approximately six weeks on Pic-Time; sports galleries are retained longer. Master files are kept in secured backup storage for archival purposes.

9. Security

We use reasonable administrative and technical measures — including secure passwords, reputable hosted services, and limited access to files — to protect your information. No method of transmission or storage over the internet is 100% secure, so we cannot guarantee absolute security.

10. Your Rights

You may request to access, correct, or delete personal information we hold about you, or opt out of promotional use of your photos, by contacting us at the email below. Depending on where you live, you may also have additional rights under applicable privacy laws (for example, California residents under the CCPA, or residents of the EU/UK under the GDPR). We will respond to verifiable requests within a reasonable timeframe.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page shows the most recent revision. Continued use of the site after changes constitutes acceptance of the updated policy.
